Church Administrator
REPORTS TO: Director of Church Operations

GENERAL RESPONSIBILITIES: Provide administrative support to the pastoral staff and the congregation; present a positive image to those who contact the church by phone and in person; other duties as assigned by immediate supervisor or Senior Pastor.

Secretarial Support
– Serve as office liaison with all ministries
– Open incoming mail and distribute to appropriate persons
– Apply postage, mail correspondence, and send out other pieces for special activities
– Do typing projects and make copies as assigned
– File correspondence, reports, church newspaper ads, etc.

Church Administration/Communications
– Have good knowledge of membership to meet requests of ministries, general congregation and Senior Pastor as required
– Prepare church bulletins, special flyers, etc.
– Serve as liaison between AV team and Communications/Marketing Coordinator to ensure weekly updates of overhead announcements and Calvary Website
– Maintain Annual Church Calendar
– Assign meeting rooms for daily and standing use
– Keep accurate church records, including membership, baptismal, marriage, special mailing lists, etc.
– Obtain and provide the necessary information to complete baby blessing certificates
– Coordinate Home Going Process with Assigned Diaconate Representative
– Assist Director of Church Operations with projects related to overall congregation and special requests from the Senior Pastor

Office Administration
– Provide first point of contact on phone or in person
– Ensure daily administrative tasks are carried out in a timely manner
– Interface with Trustee ministry regarding office equipment purchase, repairs, etc.
– Maintain all office supplies, keep track of inventory and replenish/reorder when necessary
• Back Up Support for Administrative Assistant to Senior Pastor
– In the absence of the Administrative Assistant provide secretarial support to the Senior Pastor
– Provide support for special Church events
• Education/Experience
– HS Diploma/Equivalent Required
– Associate or Bachelor’s Degree Preferred
– Minimum five years Clerical/Administrative Experience
– Highly competent in the use of various software applications
– Strong verbal and written skills

Knowledge, Skills and Abilities
– Be a self-starter and able to work at a fast pace while maintaining high quality output
– Be able to anticipate, identify, and prioritize issues timely and act without constant supervision
– Be courteous and tactful with members and any visitors, as well as with people during telephone encounters
– Adhere to established deadlines
– Be creative in the approach to administration while maintaining a keen eye for detail
– Be committed to the Mission and Message of the Church
– Exercise exceptional judgment when dealing with sensitive and personal issues
– Be committed to work as a member of the Church team
– Be able to multi-task
– Be able to work some weekends, including during some special events

Environment
– Church office and other Church related facilities
– Typical work hours: four hour blocks per day Monday – Thursday and as needed on Friday and Saturday for special events and/or back up to Administrative Assistant
